Assign tags based on the proposal package

You can automate your workflows based on the service tier your clients have chosen in the proposals. Here’s how.

Tag assignment in proposal packages, explained

The Update account tags feature lets you configure tags for each package in your proposals. When a client selects a package and signs the proposal, the configured tags are automatically applied to their account or removed from it. This helps you immediately categorize clients based on their selected service level and set up automations accordingly in your pipeline.

Example use cases:

  • Service tier differentiation: A bookkeeping firm offers Essential, Growth, and Premium packages. When a client selects the Growth package, the “Growth” tag is automatically applied, triggering a workflow that assigns a dedicated account manager and sends monthly reporting templates.

  • Switching service levels: A tax firm has Basic and Full-Service packages. When a client upgrades from Basic to Full-Service, the proposal is configured to remove the “Basic” tag and add the “Full-Service” tag, ensuring the client receives the appropriate level of communication and document requests.

  • Clean slate approach: An accounting firm wants to ensure clients only have tags related to their current service level. They configure their packages to clear all existing tags first, then apply only the tag corresponding to the newly selected package, preventing tag accumulation from previous engagements.

Étape 1. Créer tags

Before using the Update account tags feature in proposal packages, you have to decide which tag must be applied or removed automatically. Use the following questions for reference: 

  • Which client group would you like to see by filtering the account list? Returning clients, Tax clients, etc.
  • For which client group do my team members need a specific set of tasks to proceed with the provided services? E.g. QBO Clients

Make sure you’ve created tags for particular groups of clients.

Step 2. Set up tags in your proposal package

You can configure automatic tag assignment based on proposal packages either when working with a template or when creating a proposal manually:

  1. Open the proposal template or create a new proposal.

  2. In the Services section, click Edit to open the package card.

  1. Toggle on Update account tags, then select the action you want to perform.

This setting can be used in various ways:

  • Clear existing account tags toggled on, and Add Account Tags field empty: When client selects the package job enters this stage, all applied tags are removed from the account.

  • Clear existing account tags toggled on, and Add Account Tags field filled in: When client selects the package, all applied tags are removed from the account, and tags selected in the Add Account Tags field are applied to the account.

  • Clear existing account tags toggled off, and Add Account Tags field filled in: When client selects the package, all applied tags remain assigned to the account, and tags listed in the Add Account Tags field are applied to the account.

  • Clear existing account tags toggled off, and Remove Account Tags field filled in: When client selects the package, tags listed in the Remove Account Tags field are removed from the account.

  • Add Account Tags field, and Remove Account Tags field filled in: When client selects the package, tags listed in the Add Account Tags field are applied to the account, and tags listed in the Remove Account Tags field are removed from the account.

  1. Save your template or send the proposal. Once the client signs, the tags will be updated accordingly.

Note

When duplicating a proposal template with Update account tags enabled, only the Add account tags configuration is copied. When duplicating a package, all settings are copied. To avoid errors, always review the duplicated item before using it.

Use packages with tags in the pipelines

Once tags are automatically applied based on the selected proposal package, you can use them to trigger conditional automations in your pipelines. This allows you to create different workflows for different service tiers without manual intervention.

Common use cases:

  • Set up tier-specific communication sequences
  • Assign specific team members to accounts with certain tags
  • Create service-specific organizers or document requests

Example scenario:

  1. A firm creates a proposal with two packages: Essential and Growth. Each package is configured to add its corresponding tag.
  2. When a client signs the proposal and selects the Growth package, the Growth tag is automatically applied to their account.
  3. This triggers a conditional automation that sends a welcome email with instructions specific to Growth-tier clients, including details about monthly financial reviews and the additional documents they’ll need to provide.

Set up conditional automations based on package tags

To trigger conditional automations based on the package a client selects:

  1. Configure the proposal stage:
  • Ensure Automove jobs is turned on for the stage where you send the proposal.
  • Select the proposal template that includes packages with Update account tags configured.
  1. Set up conditional automations on the next stage:
  • Add an automation (e.g., Send email, Create organizer, Update job assignee).
  • Click Add conditions and select account tag you configured in the proposal package (e.g., Essential or Growth).
  • Add more conditional automations for each tag you want to use.
  • Configure the rest of your automation settings and click Save.

Once the client signs the proposal, the corresponding tag is applied, the job automatically moves to the next stage, and the corresponding conditional automation triggers.

Automation order and timing considerations

When using tags from proposal packages in your automations note the following:

  • Tags are assigned only after the client signs the proposal. Do not use conditional automations based on automatically applied tags on the same stage where the proposal is sent. Configure tag-based automations on a subsequent stage.

  • Deleting a signed proposal does not remove tags. If a signed proposal is deleted, tags that were automatically applied remain on the account and must be removed manually .

  • Update account tags automation runs first. If you have both Update account tags and Send proposal automations on the same stage, the Update account tags automation automatically triggers first.
