Team (Basic): Assignees

TaxDome’s workflow system consists of pipelines, jobs, and tasks. Each of these can have team members assigned. In addition, employees could be assigned to accounts or follow them. How does it work? Let’s get started.

Account Access (Account Assignees)
On TaxDome, an employee is limited until they have access to client accounts. Once they’ve been assigned to accounts, they can view and edit client info, upload documents, create invoices, send messages, create notes, view linked contacts—and more. For in-depth details, go here.
There are several ways to give employees access to accounts. Firm Owner or Admins can
- give default account access
- assign one or more employees to accounts when creating or importing them
- bulk assign one or more employees to existing accounts
- use pipeline automation to give temporary access

Followers are firm members who receive notifications on the account activity with or without being assigned to the account. Following the client account is not the same as having account access – you may have the access but choose not to receive any notifications regarding it (i.e., unfollow) and vice versa – you may receive notifications on all account’s activity (i.e., follow) without being assigned to it. A pipeline is a specific work process used at your firm. Selected employees are given access to pipelines (rather than assigned to them). See the Available to field, below.
All employees added in the Edit pipeline section’s Available to field:
- See the pipeline in their Workflow section.
- Are able to add jobs for their assigned clients, edit jobs, and move jobs from stage to stage.
- Have access to the Workflow section of their assigned accounts. In that section, employees can view all pipelines and jobs related to the account.
Note! An employee might have access to a client account but not to a pipeline containing a job for that client. When this happens, the employee won’t be able to see the pipeline or work on any of its jobs.

A job is an individual service firm performs for a client, and you can assign as many employees to one as needed.
You can select the assignees in the individual job and in a job template.

Assignees could be displayed on a job card. Read more on how to customize job cards in the article.
You can filter your jobs list by the assignee using the Job Assignee filter. From the Jobs page, you can track all jobs, and from the Pipelines page, you can track jobs only from this pipeline.
Note! Remember, jobs go into pipelines. Employees assigned to jobs will need to have access to the pipelines for them.
A Tasks is an essential to-do in the completion of a job, and you can assign however many employees to one as needed. See the Assignees field, below.
If a task is linked to a job, the assignee can still be easily changed from inside the job at anytime. Go here for the details.
Team members can see their assigned tasks on one page by going to the Tasks tab in their Workflow section. Tasks are not always related to pipelines. Even if they are, the assigned employees don’t need to have access to the pipeline. An employee assigned to a task, however, will need to have access to the account it is for.
Tip! The Update Account Access pipeline automation allows you to create tasks for specific employees, giving them temporary access to accounts. For example, a stage in a pipeline might include a Review documents task for a specific employee. To learn how to use this automation, go here.
