Docs (Advanced): Request Docs From Clients or Third Parties

TaxDome offers many simple and secure ways to get documents from clients and third parties. Plus, they can even skip logging in to the portal if needed. Read on to find out all the ways clients and non-clients upload documents. 

Requesting Documents From Clients Who Can’t Log In

Have a client who forgot their sign-in info or who doesn’t use the TaxDome portal? TaxDome lets you create links to a Files Requested upload page. Once the client clicks the link, they’re taken to a page where they can drag-and-drop their documents. You’ll receive a notification in your Inbox+ once the documents have uploaded.

To create a link to a Files Requested upload page:

1. From the Docs tab, go to Documents; select the client. Next, find the folder you want the documents uploaded to, click the three dots to the right of the folder, then select Request Files

You can also access this feature from the client account Docs tab.

Note: The client won’t be able to see the other contents of the folder.

2. Enter a message; for example, why you need the requested document.

3. Choose an option:

  • Send the link manually: Click CREATE, then copy the link and send it via email. Or copy it later when you need it: Go to the Docs tab, then open the File Requests subtab to find it.
  • Send the link automatically: Toggle on Send request via e-mail, select the recipient from the list (the email addresses in this list are for account users with enabled portal access) or enter any email address, then click CREATE.

To access all the links you’ve created, go to the client account Docs tab, then open the File Requests subtab.

  • If you want to resend the link automatically, click the three dots to the right and select Resend.
  • If you want to resend the link manually, select Copy Link, then send it in a message or email.
  • If you want to change the message included with the link, select Edit, enter a new message, then click SAVE.
  • If you no longer want the client to upload files via the link, select Revoke.

Creating a Secure Link for Non-Clients to Upload Documents

Create a general guest account where anyone can securely upload documents. The person uploading documents to the guest account won’t need TaxDome portal access.

Here’s how:

1. Create a general guest account. Don’t link any contacts to it. You can share it with different people—and only you and team members have access to it.

2. Stay organized: Go to Docs, then Documents. Inside the Private folder, create a subfolder for non-clients to upload to; name it something easily recognizable. 

3. Click the three dots to the right of the folder, then select Request Files to create a secure link to an upload page. Now that you have a link, send it to the non-client you need documents from. 

4. Once the files are uploaded, you can share them with the third party too (for more, go here).

How Clients Upload Documents to Their Portal

Once a client has portal access, they can upload documents on the Home or Documents page. For more details, visit the Client Help Center.

How Clients Upload Documents from the TaxDome Mobile App

Once a client has portal access, they can install the TaxDome Mobile App on their smartphone. With a phone, they take a pic of a document, crop and rotate it, then upload it to the portal—easy-peasy. For more details, go to the Client Help Center.

Requesting Documents in Chats

Chats consists of threads where you can safely talk with clients. Documents can be attached to messages while creating them or even afterward. To make sure a client doesn’t forget to follow up on a document request, make it a to-do inside the thread by adding it as a task using Client Tasks. The request will show up as part of a checklist they’ll need to complete. Learn more about Client Tasks here.

Requesting Documents Inside Client Organizers

Our organizers are custom-tailored forms used to gather all the basic details and docs needed to begin working for a client. Organizer templates can be designed to include as many file-upload requests as needed. Documents uploaded to an organizer are automatically saved to the default client folder with Client can view and edit access. Learn more about creating organizers here.

Requesting Documents in Emails

Keep in mind that requesting documents by email is not the most secure way of exchanging information. When your email is synced with TaxDome, you’ll see all email from clients in TaxDome’s Inbox+ and also under the Email tab of each client account profile. Attachments clients send via email can be autosaved to a default client folder with Client can view and edit access.
