We're sure that you do your best to deliver the most quality service to your clients. But sometimes you could be overwhelmed by a flow of tasks and requests, especially when your business is growing. Unfortunately, you don't have all the time in the world to give your clients the best just by yourself. But, lucky you, we have a set of tools for delegating some tasks to your admins.

Tag Audit Process

Imagine, that someone in your team sets up a profile and forgets to assign any specific tag. It impacts workflow automations, especially if it's tag-dependent. One of the ways to fix it is to have admins that can review all profiles to find ones without any tags:

  1. Go to the Clients section.
  2. Click on the Filter button.
  3. In the Tags section, select Contains and scroll down to the no tags option.
  4. Click Apply.

You'll end up with the accounts without any tags. From that point, your admin can identify why that accounts don't have any tags and should they have a specific tag.

Email Sync Audit Process

You'd better make sure that every profile has the Email Sync feature turned on. If every license holder has their email synced in TaxDome, any email threads that are happening within the firm amongst every member will have access to that threads with the customers.

So, if one of your employees goes on vacation and they had something pending with a customer, you could always look to that customer's profile and know what's going on.

  1. Go to the Clients section.
  2. Select an account.
  3. Go to the Info tab.
  4. Make sure that every team member has an Email Sync toggled on.

Assignee Audit Process

Ensure all the appropriate team members are assigned to the corresponding account profiles. You usually do it during the initial setup of the account, but it can easily be forgotten.

The goal here is to give an employee access to an existing account.

How to achieve that. Give your admins Admin access so they can assign permissions. If you're the firm owner, you don't have to be the only one who can give access to accounts.

  1. Go to the Clients section.
  2. Select an account.
  3. Go to the Info tab and select the Team subtab.
  4. Add team access to the team members without it.

Signing Priority Review

Make sure that Signing Priority is in the right order, especially if you're using e-signature capture for contracts or tax returns. By default, the order of the linked contacts in the Account Details section dictates the signing order. But the Admin can change it.

The audit process allows you to ensure that you have profiles with multiple signers to set that up appropriately. Here's an article on how to do it.
